We were rushed, details were missed, and the organization of several pieces was lacking.<!--more--><\/p>\n<p>On our <a title=\"Post Event Evaluation Form (Free Printable)\" href=\"https:\/\/womensministrytoolbox.com\/post-event-evaluation-form\/\">Post Event Evaluation Form<\/a> out team&nbsp;noted that we must start planning at least 6 months out next year. Lesson learned.<\/p>\n<p>I decided to come up with a <strong>planning timeline<\/strong> for next year&#8217;s event and thought it might be helpful for you as you plan for a Table Event or other large scale Women&#8217;s Ministry event.<\/p>\n<p>For explanations of our teams, please see the post&nbsp;<a title=\"Eight Planning Teams You Need for Your Table Event\" href=\"https:\/\/womensministrytoolbox.com\/table-event-teams\/\">Eight Planning Teams&nbsp;You Need for Your Table Event<\/a>.<\/p>\n<p><em>This timeline assumes each step and decision is bathed in prayer.&nbsp;If God leads differently, by all means follow Him!<\/em><\/p>\n<p><strong>1 year \u2013 6 months<\/strong><\/p>\n<p>Select theme<br \/>\nResearch and secure speaker<br \/>\nReserve event space<br \/>\nResearch and select caterer<\/p>\n<p><strong>6 months<\/strong><\/p>\n<p>Recruit team leaders and meet monthly until event<br \/>\nRecruit worship leader<br \/>\nDetermine publicity tactics and create<br \/>\nSelect d\u00e9cor colors, etc. if needed<br \/>\nMake speaker travel and lodging arrangements if needed<br \/>\nBegin coordinating childcare arrangements<\/p>\n<p><strong>4 months<\/strong><\/p>\n<p>Finalize menu<br \/>\nRecruit table hostesses<br \/>\nCommunicate expectations and responsibilities to table hostesses<br \/>\nSet program<br \/>\nRecruit tech team<br \/>\nFinish music selection<br \/>\nBegin publicity<br \/>\nRecruit and train registration volunteers<\/p>\n<p><strong>2 months<\/strong><\/p>\n<p>Register women for event (3 weeks of registration, ending 1 \u00bd weeks prior to event date)<br \/>\nRecruit servers<br \/>\nRecruit greeters<br \/>\nRecruit childcare workers (if needed)<br \/>\nPublicize registration info (dates, costs, how to)<br \/>\nPurchase door prizes and\/or favors (our hostesses provide the table favors)<br \/>\nCommunicate logistics to speaker (see <a title=\"What Your Speaker Needs to Know\" href=\"https:\/\/womensministrytoolbox.com\/what-your-speaker-needs-to-know\/\">What Your Speaker Needs to Know<\/a>)<\/p>\n<p><strong>1 month<\/strong><\/p>\n<p>Continue registration for event<br \/>\nSend Table Hostesses reminder information (include set-up times)<br \/>\nSend postcards to Servers with time, dress, and other info<br \/>\nMeet with planning team to finalize last details and pray<br \/>\nCreate and print program<br \/>\nPurchase needed paper goods<br \/>\nPurchase speaker gifts<br \/>\nSubmit form for honorarium\/payment to speaker<br \/>\nMake copies (door prize slips, response cards, etc.)<br \/>\nMake arrangements for dinner for servers and children in childcare (if needed)<\/p>\n<p><strong>1 &#8211;
