\"What<\/p>\n

Last week we talked about whether or not\u00a0you should charge<\/a> for\u00a0a\u00a0women’s ministry event.<\/p>\n

When that answer is an obvious \u201cyes\u201d, the next step is figuring out what you should charge for your women’s ministry event.<\/strong><\/p>\n

While it may be tempting to choose a nice round number, or just go with what\u2019s typically been charged in the past for a similar event, doing so can throw a major wrench in our women\u2019s ministry budget.<\/p>\n

As good stewards we need to calculate the actual cost for the event and determine a price per person that doesn\u2019t fall short or far exceed those expenses.<\/p>\n

For which of you, desiring to build a tower, does not first sit down and count the cost, whether he has enough to complete it? Luke 14:28 (ESV)<\/p><\/blockquote>\n

We\u2019ve got two categories of expenses to calculate.<\/h4>\n
    \n
  1. Fixed Expense<\/strong>s \u2013 will not change.<\/li>\n
  2. Variable expenses<\/strong> – will change based upon the number in attendance.<\/li>\n<\/ol>\n
    Fixed Expenses will include:<\/h5>\n
      \n
    1. Audio\/visual rentals \u2013 microphone, speakers, keyboard, screen<\/li>\n
    2. Decorations<\/li>\n
    3. Door Prizes<\/li>\n
    4. Event Signage<\/li>\n
    5. Miscellaneous (maybe $100 for unexpected expenses)<\/li>\n
    6. Publicity<\/li>\n
    7. Room rental fee<\/li>\n
    8. Scholarship Money<\/li>\n
    9. Security<\/li>\n
    10. Speaker Fee<\/li>\n
    11. Speaker Gift and\/or Welcome Bag<\/li>\n
    12. Speaker\u2019s Meals<\/li>\n
    13. Speaker\u2019s Travel Expenses<\/li>\n
    14. Tech Crew \u2013sound, lights, etc.<\/li>\n<\/ol>\n
      Variable Expenses will include:<\/h5>\n
        \n
      1. Activities \u2013 crafts projects, tickets to a show<\/li>\n
      2. Childcare, if offered<\/li>\n
      3. Favors and\/or Welcome Bags<\/li>\n
      4. Food- Meals and Snacks<\/li>\n
      5. Lodging Expenses for Attendees *<\/li>\n
      6. Name tags<\/li>\n
      7. Paper products<\/li>\n
      8. Processing fees for online registrations<\/li>\n
      9. Program materials<\/li>\n
      10. Rentals \u2013 tables, chairs, linens<\/li>\n
      11. Taxes and serving fees<\/li>\n
      12. T-shirts<\/li>\n<\/ol>\n

        * I included the\u00a0<\/strong>lodging\u00a0expenses\u00a0for event attendees in the variable expenses because often teams will offer single, double, triple, and quad lodging options so women can choose a fee that fits best within their budgets and personal preference.<\/p>\n

        Think of it as a math equation.<\/h4>\n

        Fixed Expenses minus women\u2019s ministry line item divided by the number of expected attendees plus variable expenses calculated per person = Cost per person<\/p>\n

        I know this can be a bit overwhelming, so I\u2019ve put this all together in a free set of worksheets<\/strong> you can download.<\/p>\n

        Event Pricing Guide<\/a><\/p>\n

        Let\u2019s say your fixed expenses are $2500. Your women\u2019s ministry budget will cover $500.<\/p>\n

        Your team feels comfortable that at least 50 women will attend. 2000\/50=40<\/p>\n

        You\u2019ll need to charge $40 per person PLUS the variable expenses per person.<\/p>\n

        We have always tried to keep the cost of participation at a minimum for our women, but also understand that people are accustomed to paying for experiences outside of church. Don\u2019t be afraid to charge a fee!<\/em><\/p>\n
