Last summer I joined the women\u2019s ministry team at our (new to us) church. I asked a lot of questions at that first meeting.<\/p>\n

How do I submit a receipt?<\/em><\/p>\n

When do I need to get my publicity submitted for the next church newsletter?<\/em><\/p>\n

Are we responsible for purchasing coffee for our Bible studies?<\/em><\/p>\n

Most of my questions were related to procedures.<\/strong><\/p>\n

Having served on three different women\u2019s ministry teams in three different churches, I\u2019ve learned that each team and each church has their own set of procedures and forms<\/strong>.<\/p>\n

Help your team, especially the new members, by documenting common processes.<\/strong><\/p>\n

10 Documents Your Women\u2019s Ministry Team Needs:<\/strong><\/p>\n

    \n
  1. Reimbursement of Budget Monies<\/li>\n
  2. Room Reservations<\/li>\n
  3. Event Scheduling<\/li>\n
  4. Childcare Procedures (ratios, paying workers, snacks)<\/li>\n
  5. Publicity Procedures (break down info for each type \u2013 Sunday bulletin announcements, newsletter, Sunday school folders, Power Point slides, church website, Facebook page, etc.)<\/li>\n
  6. Kitchen Use (what\u2019s off limits, how to properly sanitize dishes, etc.)<\/li>\n
  7. Supply Closets (where are things stored)<\/li>\n
  8. Money Collection (receipts, cash vs check)<\/li>\n
  9. Keys\/Building Access<\/li>\n
  10. Clean-up Procedures (trash, furniture arrangement, bathrooms)<\/li>\n<\/ol>\n

    For each item consider including:<\/p>\n

    1. Appropriate Forms<\/li>\n
    2. Contact Person (title, email, phone number)<\/li>\n
    3. Step-by-Step Procedures<\/li>\n
    4. List of what is required (I.E. original paper receipt)<\/li>\n
    5. Timelines and deadlines \u2013How far in advance? Expected turn-around time.<\/li>\n
    6. Location of necessary items (forms, treasure\u2019s box in the office, paper goods)<\/li>\n<\/ol>\n

      Be especially clear about what information must be approved and\/or shared with the Women\u2019s Ministry Director, Pastor, or other staff members.<\/strong><\/p>\n
