Think about how we all learned to use Zoom during the pandemic. This was a new thing for a lot of women in our church. We sent out a video we\u2019d found online that showed women set-by-set how to download and use Zoom.<\/p>\n\n\n\n<p>Today as I share different tech tools you may want to use, <strong>don\u2019t be too quick to dismiss those that require a learning curve.<\/strong> Find some good YouTube videos to walk you through the process step-by-step. The time you spend learning to use a new tool may more than make up for the time you\u2019ll save.<\/p>\n\n\n\n<p><strong>I\u2019ll make some recommendations along the way for specific apps and websites, but there are many more that may work better for you.<\/strong> Consider my suggestions a <strong>starting point<\/strong> and check to see what other options are available. <em>I find narrowing it down to my two favorites and searching for a comparison between the two helps me make the best decision.<\/em><\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-dfcfdbf7\">Before selecting a new tool to use, I want to encourage you to do two things:<\/h5>\n\n\n\n<ol class=\"wp-block-list\" type=\"1\">\n<li><strong>Find out what<\/strong> <strong>options your church offers<\/strong>. It\u2019s almost always best to use something your women are already familiar with.<\/li>\n\n\n\n<li><strong>Pick something you\u2019ll use<\/strong>. It does no good to purchase an app, membership, or course if you\u2019re not going to use it.<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading advgb-dyn-3a1dcf9a\"><strong>Organization<\/strong><\/h3>\n\n\n\n<p>I geek out over tools that help me stay organized. This year I\u2019m specifically <strong>focused on finding tools that eliminate the time I too often waste searching for things<\/strong>.<\/p>\n\n\n\n<p>I have been a die-hard pen-and-paper girl for years. If I can make the transition you can too!<\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-d4cec96d\">Online Options<\/h5>\n\n\n\n<p><strong>Storing documents and graphics online provides accessibility to your entire team. <\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/docs.google.com\/\">Google Docs<\/a> is great for sharing files and documents with your team.<\/li>\n\n\n\n<li><a href=\"https:\/\/calendar.google.com\/\">Google Calendar<\/a> allows you to share team meetings and women\u2019s ministry events with your team and your women.<\/li>\n\n\n\n<li><a href=\"https:\/\/photos.google.com\/\">Google Photos<\/a> is a great place to store women\u2019s ministry event photos. (I\u2019m working on a folder of personal event d\u00e9cor to share with the woman on our team that is in charge of decorations for our events. While we\u2019ve got a good amount in our storage closet, sometimes it\u2019s nice to change things up. Showing her what I have, is much easier than telling her.)<\/li>\n\n\n\n<li><a href=\"https:\/\/docs.google.com\/spreadsheets\" target=\"_blank\" rel=\"noreferrer noopener\">Google Spreadsheets<\/a> or Excel (not online) can be used to track budget expenses and income and registration for events.<\/li>\n<\/ul>\n\n\n\n<p>How can you simplify and streamline the sharing of women&#8217;s ministry information between team members?<\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-83b58ed1\">Passwords<\/h5>\n\n\n\n<p> I have a lot of passwords. We all know it\u2019s not safe to use the same password on every account. The strongest passwords contain a mix of numbers, letters, and symbols making them even harder to remember. <strong>Apps like <a href=\"https:\/\/www.roboform.com\/\">Roboform<\/a> save, create, and organize passwords. <\/strong>You just need to remember one password to unlock all the others.<\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-b0d76b5e\">Tabs<\/h5>\n\n\n\n<p>I keep a lot of tabs open on my computer screen at once. It\u2019s not unusual for me to have 20-30 tabs open. <strong>OneTab is a Chrome extension that saves and stores your tabs. <\/strong>It\u2019s searchable too!<\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-69d3d4e6\">Electronic Notes<\/h5>\n\n\n\n<p>I have far too many sticky notes and letter-size notepads lying around our house. While I love jotting down ideas and writing out my messages, <strong>I spend too much time trying to locate handwritten notes<\/strong>. <\/p>\n\n\n\n<p>This year I\u2019m trying something new. I had been considering the Remarkable (it\u2019s like an electronic notepad) and then I got word Amazon was coming out with the <a href=\"https:\/\/amzn.to\/3wrPE1r\" target=\"_blank\" rel=\"noreferrer noopener sponsored nofollow\">Kindle Scribe<\/a>. <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>I can write my notes with a pen in my <strong>electronic notebook<\/strong>.<\/li>\n\n\n\n<li>I can also make notes in my Kindle books using the Kindle Scribe (the scribe allows you to create electronic sticky notes inside books to make notes as you read).<\/li>\n\n\n\n<li>I used it to take notes at our last women\u2019s ministry meeting. I can send a PDF of the meeting notes to any email address.<\/li>\n\n\n\n<li>I can also email files to my Kindle. It was super helpful to have my speaking notes on my Kindle Scribe to review while I was en route to my last speaking engagement.<\/li>\n<\/ul>\n\n\n\n<p>Finding a way to organize your notes can <strong>increase your productivity<\/strong> and <strong>lower your stress<\/strong>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading advgb-dyn-2dde1236\"><strong>Communication<\/strong><\/h3>\n\n\n\n<p>Communication is probably the most obvious use of tech tools for ministry.<\/p>\n\n\n\n<p>There\u2019s a good chance your church has a <strong>communication policy<\/strong>. <em>Please get a copy if you don\u2019t have one.<\/em> I haven\u2019t seen the one for our church, but I know it has guidance about when and how often communication can be sent out.<\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-0f09f583\">Team Communication<\/h5>\n\n\n\n<p>How does your women\u2019s ministry team communicate in between meetings? <\/p>\n\n\n\n<p>Do you have a group text set up? I\u2019m not a fan of using group texts and there\u2019s a good chance some women on your team aren\u2019t too. It\u2019s impossible to search and the constant notifications are an issue. Also, if you have a mix of iPhone and Android users, you may run into issues.<\/p>\n\n\n\n<p><strong><a href=\"https:\/\/www.voxer.com\/\">Voxer<\/a>, <a href=\"https:\/\/groupme.com\/en-US\/\">GroupMe<\/a>, and <a href=\"https:\/\/slack.com\/\">Slack<\/a> all eliminate group texting.<\/strong> <\/p>\n\n\n\n<p>Personally prefer Slack because you can set up multiple threads \u2013 one for prayer requests, meeting minutes, etc. You might even want to use one of these apps to communicate with all of the women in your church. Take it on a test run with your team first and be sure to train your women how to use it.<\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-aed909e1\">Scheduling Reminders<\/h5>\n\n\n\n<p>I\u2019m all about <strong>automating reminders<\/strong>. If you\u2019re setting up a meal train, recruiting volunteers, or hosting a potluck consider using <a href=\"https:\/\/takethemameal.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Take-Them-a-Meal<\/a> and <a href=\"https:\/\/www.signupgenius.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">SignUp Genius<\/a>. Go into the settings to make sure those participating receive a reminder email.<\/p>\n\n\n\n<h3 class=\"wp-block-heading advgb-dyn-74e64ebf\"><strong>Publicity<\/strong><\/h3>\n\n\n\n<p>Tech tools can help us <strong>spread the word<\/strong> about upcoming events and activities. However, <strong>not all of our women are on social media<\/strong>. <\/p>\n\n\n\n<p><strong>Our publicity efforts have to be a multi-pronged approach. You\u2019ll need to:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>send out emails<\/li>\n\n\n\n<li>put the information on the church website<\/li>\n\n\n\n<li>share it on social media<\/li>\n\n\n\n<li>send out a text (if you can)<\/li>\n\n\n\n<li>hang publicity in the <a href=\"https:\/\/womensministrytoolbox.com\/publicity-secret-bathrooms\/\">women\u2019s bathrooms<\/a> <\/li>\n<\/ul>\n\n\n\n<p>The more places your women see the information the better.<\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-7884ff6c\">Graphics<\/h5>\n\n\n\n<p><a href=\"http:\/\/partner.canva.com\/OrBQqN\" target=\"_blank\" rel=\"noreferrer noopener sponsored nofollow\">Canva<\/a> is my <strong>go-to tool for creating sharp-looking graphics<\/strong> for social media and <strong>printed materials<\/strong>. <\/p>\n\n\n\n<p>Churches can get a free non-profit account &#8211; <em>ask if you can have access<\/em>. They have thousands of templates that you can easily customize. Create a folder for your women\u2019s ministry graphics on Canva so you can easily share them with other team members. Out-dated publicity date your ministry. If you\u2019re struggling to attract younger women this may be one reason why.<\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-245732bd\">Video<\/h5>\n\n\n\n<p><strong>Video content is incredibly powerful. <\/strong>Try to take the time to capture the action of your next event on video or create a video invitation for your next event. <\/p>\n\n\n\n<p>There are lots of great video editing apps. Find one that you will use and like. My current favorite is <a href=\"https:\/\/www.videoleapapp.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Videoleap<\/a>. It\u2019s great for creating reels and editing videos on my phone.<\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-0ee13c13\">Email<\/h5>\n\n\n\n<p><strong>Check with your church <\/strong>to see if you can use their <strong>email software<\/strong> so you don\u2019t have to create and then continually update a new database. Every women\u2019s ministry needs its own email list. <\/p>\n\n\n\n<p>Please do not use the \u201ccc\u201d function and load everyone into your email address book. You want something <strong>multiple people can use<\/strong> and something that <strong>doesn\u2019t need to be recreated<\/strong> if you were to get sick, move, or step down suddenly.<strong> <\/strong><\/p>\n\n\n\n<p><strong>Almost every woman has an email account<\/strong> \u2013 <em>she may not check it regularly, but she probably has one<\/em>. Use social media to remind her to check her email for more detailed info. <\/p>\n\n\n\n<p>Check out <a href=\"https:\/\/mailchimp.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Mailchimp<\/a> and <a href=\"https:\/\/www.mailerlite.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Mailerlite<\/a> if you need an email service.<\/p>\n\n\n\n<h3 class=\"wp-block-heading advgb-dyn-b08f8313\"><strong>Event Implementation<\/strong><\/h3>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-9c2ba66f\">Registration<\/h5>\n\n\n\n<p>More and more churches are <strong>moving away from physical sign-up sheets to digital registration<\/strong>. The ability to sign up when it\u2019s convenient and from any location is important.<\/p>\n\n\n\n<p>First, <strong>check with your church to see what software program <\/strong>they use. Many use Planning Center (also called Church Center). If possible, use what women are already familiar with. The easier you can make it the more they will use it.<\/p>\n\n\n\n<p><strong>Train your women to register for every event regardless of whether or not there is a fee.<\/strong> This <strong>encourages commitment<\/strong> and <strong>helps your team be good stewards<\/strong> so you\u2019re not wasting supplies or food. It\u2019s also pretty awkward to have too many or not enough tables and chairs set up for an event.<\/p>\n\n\n\n<p><a href=\"https:\/\/www.signupgenius.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">SignUp Genius<\/a>, <a href=\"https:\/\/docs.google.com\/forms\" target=\"_blank\" rel=\"noreferrer noopener\">Google Forms<\/a>, and <a href=\"https:\/\/www.eventbrite.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Eventbrite<\/a> (if you need to collect a registration fee) are a few alternatives if your church isn\u2019t there yet. <em>Make sure they know how much you need a church-wide solution.<\/em><\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-8ef6c4d0\">Programs<\/h5>\n\n\n\n<p><a href=\"http:\/\/partner.canva.com\/OrBQqN\" target=\"_blank\" rel=\"noreferrer noopener sponsored nofollow\">Canva<\/a> has some great templates for programs if you need one for your event. They even have templates for name tags!<\/p>\n\n\n\n<h5 class=\"wp-block-heading advgb-dyn-8fdb9410\">Surveys<\/h5>\n\n\n\n<p>I\u2019m a big fan of utilizing <strong>online surveys<\/strong> the day after an event \u2013 women aren\u2019t rushing to get home and they\u2019ve had some time to process and reflect. <a href=\"https:\/\/www.google.com\/forms\" target=\"_blank\" rel=\"noreferrer noopener\">Google Forms<\/a> is a great free option. Check to see if your church has access to <a href=\"https:\/\/www.surveymonkey.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">Survey Monkey<\/a>  \u2013 the stats and ways you can filter it are super helpful!<\/p>\n\n\n\n<h3 class=\"wp-block-heading advgb-dyn-9969200e\">Feeling overwhelmed?<\/h3>\n\n\n\n<p><strong>If the idea of using new tech tools overwhelms you, I\u2019ve got a couple of tips for lowering the learning curve.<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\" type=\"1\">\n<li><strong>Find a person in your church that knows how to do it and ask them to teach you <\/strong>(it\u2019s not just younger women that have tech skills \u2013 if any of your women speak or blog, they might be able to help you).<\/li>\n\n\n\n<li><strong>Find some YouTube videos.<\/strong> Search for exactly what you need on <a href=\"https:\/\/www.youtube.com\/\" target=\"_blank\" rel=\"noreferrer noopener\">YouTube<\/a> (not on Google). For example, how to resize a Canva graphic. How to set up Mailchimp.<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading advgb-dyn-7d91315f\">Today\u2019s Toolbox Tasks:<\/h3>\n\n\n\n<ol class=\"wp-block-list\" type=\"1\">\n<li><strong>Determine your biggest tech need <\/strong>right now in women\u2019s ministry.<\/li>\n\n\n\n<li><strong>Research tools <\/strong>that would meet that need.<\/li>\n\n\n\n<li><strong>Select one<\/strong> <strong>and learn how to use it.<\/strong><\/li>\n\n\n\n<li><strong>Put it to use!<\/strong><\/li>\n<\/ol>\n\n\n\n<p>You can do new and hard things! If you get frustrated, go take a walk, set it down for a few hours or come back to it tomorrow and try again.<\/p>\n\n\n\n<p><a href=\"https:\/\/www.biblegateway.com\/passage\/?search=Isaiah+40%3A28-31&amp;version=ESV\" target=\"_blank\" rel=\"noreferrer noopener\">Isaiah 40:28-31<\/a>&#8211; says, \u201cHave you not known? Have you not heard? The Lord is the everlasting God, the Creator of the ends of the earth. He does not faint or grow weary; his understanding is unsearchable. He gives power to the faint, and to him who has no might he increases strength.
